Privacy Policy
What we collect, why, where it goes, and how long it stays. Declared plainly, like everything else here.
01Who we are
ASCENTIALS is a business located in Ontario, Canada (“ASCENTIALS”, “we”, “us”). We run the websites ascentials.co and ascentials.ca.
We handle personal information under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and send commercial email under Canada’s Anti-Spam Legislation (CASL).
Our privacy contact is the Privacy Officer, ASCENTIALS. You can reach them at info@ascentials.co or by mail at 5261 Highway 7 East, Unit C102, Markham, ON L3P 1B8, Canada.
Pre-launch status. ASCENTIALS products are not yet for sale. Each product will be sold only after Health Canada licenses it as a Natural Health Product and issues a Natural Product Number (NPN). Until then this site mainly collects waitlist sign-ups.
02What we collect
| Source | Data |
|---|---|
| Waitlist / early-access forms | Your email address and, if you choose, your first name and the products you’re interested in. We also record which form you used, the page URL, the time you signed up, the consent wording you saw, and any campaign tags (UTM source, medium, campaign) in the link that brought you here. |
| Practitioner / wholesale applications | If you apply: name, credentials, practice type, company, contact details, expected volume and sales channel. |
| Orders and accounts (once sales open) | Name, billing and shipping address, email, phone, order history, and account login details. Card details are entered with the payment processor, not stored by us. See section 06. |
| Email you send us | Whatever you choose to include. |
| Technical data | IP address, browser and device type, and the pages you request. Our web host and the services in section 06 record this in standard server logs. |
We do not ask for health information through this site. Please don’t send it to us.
03Why we use it
- To tell you when the founding batch and later products are available, if you asked us to.
- To review practitioner and wholesale applications and reply to them.
- To process, ship and support orders and to keep the records the law requires, once sales open.
- To answer your messages.
- To keep the site secure, stop spam (form honeypot and rate limits), and learn which pages and campaigns bring people here.
We use your information only for these purposes, or for purposes a reasonable person would expect, unless you agree otherwise or the law requires it. We do not sell personal information.
04Email & consent
Joining the waitlist is express consent under CASL to receive emails from ASCENTIALS about the founding batch and our releases. We keep a record of when and where you gave that consent and the wording you saw.
Every email we send includes our identity and a working unsubscribe link. You can also withdraw consent at any time by writing to info@ascentials.co. We act on unsubscribe requests within 10 business days, as CASL requires.
05Cookies & browser storage
This is the full list of what the site sets or loads today:
| Item | Purpose |
|---|---|
Session storage (ascentials_utm_*) | Remembers campaign tags from your landing link for the current browser tab, so a sign-up can be credited to the right campaign. It is cleared when you close the tab and is never used for cross-site tracking. |
| WooCommerce cookies | Store platform cookies that keep a cart, session or login working. These are only set once you use store or account features. |
| WordPress cookies | Set only if you log in or leave a comment. |
| Google Fonts | Our typefaces (IBM Plex) load from Google’s servers, which receive your IP address and browser details when you load a page. See Google’s privacy policy. |
This site does not currently use advertising pixels or third-party analytics trackers. If we add analytics later, we will update this page first.
You can block or clear cookies in your browser settings. The waitlist form works without cookies.
06Who we share with
We share personal information only with service providers that help us run ASCENTIALS. They may use it only to provide their service to us:
- Web hosting: DreamHost, which hosts and backs up this WordPress site.
- Email and CRM: the service that stores the waitlist and sends our emails.
- Payments (once sales open): the payment processors we use once sales open. We will name them here before checkout opens. Each processor handles your card details directly under its own privacy policy and security standards.
- Shipping (once sales open): the carrier that delivers your order receives your name, address and phone.
- Fonts: Google, as described in section 05.
We may also disclose information when the law requires it, to protect our legal rights, or as part of a sale or reorganisation of the business, in which case the new owner remains bound by this policy.
07Where data is stored
Some of our service providers store or process data outside Canada, including in the United States. While it is there, it is subject to that country’s laws and may be accessible to its courts and authorities. We choose providers that protect data to a standard comparable to PIPEDA.
08Retention
| Record | Kept for |
|---|---|
| Waitlist entry | Until you unsubscribe or ask us to delete it. After you unsubscribe we keep only your address on a do-not-email list, plus the consent and withdrawal record, for as long as CASL requires us to be able to show it. |
| Applications | Up to 24 months after our last contact with you, unless we enter a business relationship. |
| Orders and invoices | Six years from the end of the tax year they relate to, as the Canada Revenue Agency requires. |
| Server logs | Our hosting provider keeps server logs according to its standard retention schedule. |
When we no longer need information, we delete or anonymise it.
09Your rights
Under PIPEDA you can:
- Access: ask what personal information we hold about you and how we have used and shared it.
- Correct: ask us to fix anything inaccurate or incomplete.
- Withdraw consent: stop receiving emails or ask us to stop a use of your data, subject to legal or contractual limits. We will tell you what withdrawing means in practice.
- Delete: ask us to erase your data where we are not legally required to keep it.
To make a request, write to info@ascentials.co. We may ask you to confirm your identity. We reply within 30 days, and there is no charge.
If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
10Safeguards
The whole site runs over HTTPS. Access to our systems is limited to the people who need it. The secret credentials our forms use are kept on the server and never sent to your browser. No method of transmission or storage is perfectly secure. If a breach creates a real risk of significant harm, we will notify you and the Privacy Commissioner as PIPEDA requires.
11Children
This site is meant for adults. We do not knowingly collect information from anyone under the age of majority in their province. If you think a minor has signed up, contact us and we will delete the entry.
12Changes & contact
We will post any change here and update the revision and effective date above. If a change is material, we will email people on the waitlist before it takes effect.
